Administration Clerk Supervisor (X3 Posts)


๐ŸŽ“ Minimum Requirements

To qualify for the position of Administration Clerk: Supervisor, applicants must have:

  • Grade 12 Certificate (NQF Level 4) or an equivalent qualification.
  • At least three (3) yearsโ€™ relevant experience in Public Administration, Human Resources, or a related environment.

๐Ÿง  Skills and Competencies Required

  • Ability to work independently, professionally, and with accountability.
  • Computer literacy, including MS Office applications.
  • Excellent written and verbal communication skills.
  • Strong interpersonal and people management abilities.
  • Planning and organizational skills with attention to detail.
  • Confidentiality and discretion in handling sensitive information.
  • Good telephone etiquette and customer service approach.
  • Knowledge of relevant legislation, policies, and procedures within the public service.
  • Familiarity with Regional Facilities Interface Management (RFIM) processes and works maintenance procedures.

๐Ÿ’ผ Key Duties and Responsibilities

The Administration Clerk Supervisor will be responsible for providing administrative and supervisory support to ensure smooth operations within the Works Maintenance Unit.

Core Duties Include:

  • Supervising and coordinating clerical, financial, and maintenance administration tasks.
  • Managing filing systems, registers, databases, and correspondence.
  • Handling routine enquiries and ensuring proper document safekeeping.
  • Maintaining personnel records, leave, and attendance registers.
  • Coordinating travel and accommodation arrangements.
  • Supervising and mentoring subordinates, including performance monitoring and on-the-job training.
  • Supporting financial administration by managing petty cash, capturing expenditure, and verifying travel claims.
  • Coordinating maintenance-related documentation, ensuring accuracy and compliance.
  • Applying registry and archival procedures for audit readiness.
  • Engaging with stakeholders to provide updates and ensure efficient communication within the RFIM Section.
